As a Management Assistant specializing in Events and Board Meetings, you will play a pivotal role in coordinating and executing various events, meetings, and initiatives critical to the organization’s success. You will also support my client’s leadership team with various ad hoc tasks. This position requires excellent organizational skills, attention to detail, and the ability to work collaboratively with external stakeholders on executive level and internal colleagues.
Key Responsibilities:
Event Coordination:
- Plan, organize, and execute a variety of events such as board meetings (e.g., General Assembly and Supervisory Board).
- Coordinate event logistics including venue selection, catering, audiovisual equipment, and guest accommodations.
- Organize and coordinate internal social events, and attention to employee birthdays, anniversaries, and other milestones.
- Manage event budgets, track expenses, and ensure cost-effective solutions.
- Coordinate post-event activities including collecting feedback, analyzing event success metrics, and preparing event reports.
Board Meeting & Management Team Support:
- Assist in scheduling and planning board meetings, committee meetings, and other governance-related events with the executive assistants of board members.
- Maintain confidentiality and handle sensitive information with discretion.
- Ensure the smooth operation of management activities by providing administrative and organizational support.
Communication and Collaboration:
- Assist in drafting correspondence, reports, presentations, and other communication materials.
- Maintain an organized filing system for documents related to events, meetings, and board activities.
- Foster effective communication across departments and with external stakeholders, facilitating seamless event execution and board meeting preparation.
Qualifications:
- Substantial experience in large international corporations (although the organization is small, we collaborate with very large corporates).
- Proven experience in event planning, board support, or executive assistant roles.
- Strong organizational and multitasking abilities with a keen eye for detail.
- Excellent written and verbal communication skills in English.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Strong interpersonal skills and the ability to build relationships with diverse stakeholders.
- Discretion and professionalism in handling confidential information.
- Experience working in scale-ups is a plus.
Practical
- You have to live in The Netherlands. My client does not offer relocation or immigration services (VISA). You must be eligible to work in the Netherlands
- Willing to work in The Amsterdam Office at least two days a week
- 32-40h a week
